Works with the Physicians to coordinate their daily schedule, clinic, academic and administrative. Serves as physicians' "point person" ensuring both clinical and academic activities run smoothly and office is efficient and organized.
Coordinates all activities for designated physician(s).
Accurately maintains daily schedule for all clinical, academic and administrative responsibilities
Responsible for handling telephone calls, routing messages appropriately, answering patient questions and taking accurate messages
Keep track of physician's dictation ensuring transcription is returned from service in the time frame agreed upon, filing dictation in accordion folder for file clerk to secure in chart.
Schedules all ancillary appointments for patients ensuring a seem-less delivery of care.
Contacts patient to confirm date of surgery offering pre-surgical instructions to the patient as necessary.
Follows-up and ensures receipt of all ancillary reports and files in accordion folder for file clerk to secure in chart.
Arranges or assists with outside services for patients as necessary, (home health, rehab), ensuring a comprehensive plan of care.
Using IDX generates letters for patients as needed.
Using IDX, confirms all patient appointments through written correspondence and/or a telephone call.
Using IDX, changes all patient appointment after confirmation process to reflect accurate schedule
As appropriate, coordinates prescription refill requests.
Completes Workers Compensation and No Fault paperwork in a timely fashion forwarding and identifying areas for physician to complete. Indicates date paperwork is forwarded to the physician and date it is to be returned following up with physician if paperwork is delinquent.
Batches physicians operative cases within 24 hours after receipt reconciling surgery charge ticket with batch reports.
Completes paperwork for check requests and purchase express orders forwarding requests appropriately.
Minimum Qualifications and Experience
High School Diploma and/or graduate of an approved secretarial program. Medical secretarial experience necessary with a minimum of one to two years of prior related experience. Knowledge of medical terminology required. Computer literate, IDX training required. Works independently while maintaining confidentiality. Highly organized with attention to detail. Excellent phone manners and interpersonal skills.
