Job Summary

Under the direction of the Administrative Manager of Data Integrity & Medical Information, supervises the day to day activities of the Health Information Specialists multi-shift staffing compliment. Responsible for ensuring the integrity of data within the Master Patient Index, supporting electronic death certification completion, and supporting Release of Information activities.

Duties and Responsibilities

Supervises, plans, and organizes the activities of the Health Information Specialist including overseeing daily assignment and monitoring both quality and quantity of work completed by the Health Information Specialists. Delegates assignments and monitors workflow across multiple shifts.

Responsible for Master Patient Index area and acts as frontline problem solver and subject matter expert on all problematic issues with merges, duplicate names, numbers and registration errors.

Assists Health Information Specialists with correction of inaccurate demographic and clinical data in electronic patient records and other relevant hospital databases. Identifies all affected documents in records, makes changes or contacts appropriate parties to ensure correction occurs. Follows through until process is completed. Maintains necessary documentation to identify errors.

Works closely with Patient Registration/Admitting, Patient Financial Services/Revenue Cycle Team, and Information Services to solve issues arising from inaccurate patient data. Acts as a resource to Patient Registration Department and Patient Financial Services to analyze and provide solutions for duplicates or other inaccuracies in the registration system and electronic medical record.

Acts as a liaison between HIM and other departments impacted by data integrity of patient demographics, registration, and the electronic medical record.

Facilitates and supports timely completion of electronic death certificates following the policies and procedures provided by HIM and New York City Department of Health.

Ensures compliance to all Federal/State and Hospital Regulatory requirements for PHI/Access Release. Adheres and enforces all requirements related to HIPAA on confidentiality, privacy and security of patient records.

Generates weekly and end of month reports to track productivity and statistically relevant data. Performs analysis upon said statistical data to engage process improvement and increase efficiency.

Maintains and coordinates adequate staffing for Departmental and Operational need.

Maintains accuracy of timecards for payroll.

Actively fosters staff development, including training and re-training as needed. Has regular one-on-one meetings with employees. Holds Unit meetings as necessary.

Assist in the completion of the employee performance evaluations in coordination with Director of Operations.

Participates and assists in departmental quality improvement activities.

Assists with the development of policies and procedures related to data integrity, death certificate completion, and release of information.

Participates in the Studer service excellence five pillar program focusing on excellence in service, quality, people, finance and growth.

Performs various other related duties as may be deemed necessary or as may be directed by immediate management staff.

Capable of acting as backup in the absence of any of the other Managers/Supervisors as it relates to their tasks, areas of responsibility and skills.

Job Qualifications:

Minimum Education

High School Diploma/GED
Associate degree in health information management or related health care field is preferred .

Minimum Related Experience

1-2 years Medical Records Supervisory, Admitting Department/Patient Access Supervisory experience in a similar-sized facility.

Minimum Licensing Requirements

Minimum Certification Requirements
RHIT or RHIA Preferred

Minimum Computer Skills

Proficiency with Microsoft Windows Operating Systems and Office applications such as Word, Excel, Access, and Powerpoint.
Intermediate electronic medical record experience.
Advanced ADT/Registration system utilization.

General Skills

Ability to set priorities, problem solve, use proper judgment in difficult situations and be flexible.
Able to communicate clearly both written and verbally. Able to maintain positive and productive relationships with internal and external teams and customers.
Able to work well with minimal supervision.
